Theoria Associates (“we,” “us,” or “our”) respects your privacy. This policy explains what information we collect, how we use it, when we share it, and how our text messaging program works.
Information We Collect
Information you give us. When you fill out our contact form, request a consultation, email us, call us, or sign up for text messages, we may collect your name, company name, job title, email address, phone number, and any details you choose to share about your project or IT needs.
Information collected automatically. When you visit our website, we may collect basic technical information such as your IP address, browser type, device type, pages visited, and time spent on the site. We collect this through cookies and similar tools. We do not currently use third-party analytics services such as Google Analytics.
Information from client engagements. If you become a client, we may collect additional business information needed to deliver our services. Handling of that information is also governed by your service agreement with us.
How We Use Your Information
We use your information to:
- Respond to your inquiries and schedule consultations
- Provide, manage, and support our consulting services
- Send appointment reminders, project updates, and service-related messages
- Send occasional updates about our services, if you’ve agreed to receive them
- Improve our website and understand how visitors use it

How We Share Your Information
We do not sell your personal information.
We share information only in these limited cases:
- Service providers who help us run our business, such as email, hosting, scheduling, phone, and texting platforms. They may use your information only to perform services for us.
- Legal requirements, when we must respond to a subpoena, court order, or other legal process, or to protect our rights, property, or safety.
- Business transfers, if Theoria Associates is involved in a merger, acquisition, or sale of assets, in which case your information may transfer to the new owner under this same policy.
- With your consent, in any other situation where you’ve given us permission.
Text Messaging (SMS) Program
Program description. Theoria Associates may send text messages to customers and prospective customers who opt in. Messages may include appointment reminders, consultation scheduling, project and service updates, and responses to your inquiries.
How you opt in. You opt in by providing your mobile number and checking the consent box on our website contact form, by texting us first, or by giving verbal or written consent to receive texts from us.
Message frequency. Message frequency varies based on your interactions with us.
Costs. Message and data rates may apply depending on your mobile carrier plan.
Opting out. You can opt out at any time by replying STOP to any message. You’ll receive one final message confirming you’ve been unsubscribed, and you won’t receive further texts unless you opt in again.

Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.
Your mobile information stays private. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
Data Sharing
- Customer data is not shared with 3rd parties for promotional or marketing purposes.
- Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.
Messaging Program Terms and Conditions
- The messaging program consists of general customer care messaging to answer questions and provide support to customers. Messages will be sent from (855) 884-6379.
- You can cancel the SMS service at any time. Just text ‘STOP’ to the phone number from which you received messages. After you send the SMS message ‘STOP’ to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

- Carriers are not liable for delayed or undelivered messages.
- As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

Cookies

Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and limit access to those who need it.
Data Retention
We keep personal information only as long as needed for the purposes described in this policy, or as required by law.
Our Shopify Apps
Theoria Associates also develops and operates apps for Shopify merchants, including Redemption: Bottle Deposits, a bottle deposit and fee compliance app. This section describes how those apps handle data.
What our apps store
An app stores only what it needs to run:
- Installation record: the store’s myshopify.com address, the access credentials Shopify issues to us, the permissions the merchant approved, and when the installation happened.
- Deposit ledger: for each order placed while the app is installed, the order ID, the order total, and the time we processed it. Merchants use this ledger to see which orders included a deposit or fee.
- App settings: deposit amounts, jurisdictions, and similar configuration. These are written as metafields inside the merchant’s own Shopify store and remain the merchant’s data.
Product details an app shows to a merchant, such as product titles and IDs, are read from Shopify when needed and are not stored by us.
What our apps do not collect
Our apps do not collect or store customer personal information. They do not receive or keep customer names, email addresses, phone numbers, mailing addresses, payment details, or the contents of order line items, and they do not use cookies, tracking, or advertising profiles. We do not sell app data or share it with third parties for marketing. Shopify controls whether an app may receive customer personal information; our apps do not store it. The contact form and text messaging program described above are separate from our apps.
Where app data is held
App data is held on Cloudflare’s platform, which we use to host the apps. Cloudflare processes that data only to provide hosting for us.
How app data is deleted
We keep app data only while the app is installed. When a merchant uninstalls one of our apps, we delete its installation record right away. Shopify then sends a shop redaction notice 48 hours later, and we erase everything else we hold for that store, including the deposit ledger. A merchant can also ask us to delete app data at any time using the contact details below.
When Shopify sends us a customer data request or a customer redaction request, we confirm to Shopify that our apps hold no customer records.
Your Choices and Rights
You may request to access, correct, or delete your personal information, or unsubscribe from emails or texts at any time. Depending on where you live, you may have additional rights under state privacy laws. To make a request, contact us using the information below.
Children’s Privacy
Our website and services are intended for businesses and are not directed to children under 13. We do not knowingly collect information from children.
Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with a new effective date.
